Question 1 of 7

Common mistakes

The mistakes we fix most often.

They all end up costing you: tax paid for nothing, a tax adjustment or cash sitting idle. And you can avoid every one of them by keeping your books month by month.

01

Mixing private and business

A private expense paid by the company can be added back by the tax office. A bank account and a card used only for the business solve it.

02

Letting the shareholder current account drift

Withdrawals, advances, costs paid out of your own pocket: without tracking, this account turns into a debt or a claim that the tax office looks at closely.

03

Losing receipts

No supporting document, no deductible expense and no VAT to recover. Take a photo the same day and the receipt is never lost.

04

Forgetting your receivables

An invoice nobody chases is cash sitting idle. And overstated turnover if it never gets paid.

05

Ignoring depreciation and provisions

Within the limits the tax office accepts, they reduce your taxable profit. Forget them and you pay too much tax.

06

Catching up on everything in March

Twelve months of documents handled in a rush: errors, unanswered questions and figures that arrive too late to make decisions.

FAQ

What people ask us about bookkeeping.

Talk to an expert
Do I need to keep accounts as a sole proprietorship?

Yes, always, but not necessarily full accounts. From CHF 500'000 of turnover in the last financial year, a sole proprietorship keeps full accounts, with a balance sheet and an income statement. Below that, the law only asks for a record of income, expenses and assets (art. 957 CO). A Sàrl or an SA always keeps full accounts.

Full or simplified accounting: what’s the difference?

Full accounting follows double entry: every transaction affects two accounts, and each year you get a balance sheet, an income statement and notes to the financial statements. Simplified accounting only covers income, expenses and the state of your assets. Even when it isn’t required, full accounting gives you a much clearer view of your profitability and your cash.

How long must I keep my accounting documents?

Ten years from the end of the financial year, for the books, the supporting documents, the management report and the audit report (art. 958f CO). Digital storage is allowed, except for the management report and the audit report, which are kept in signed form. With FiNexus, every document is digitised and attached to its entry in bexio.

Does my Sàrl or SA need an auditor?

In principle yes, with a limited audit. But if your company has no more than 10 full-time jobs on an annual average, you can waive it with the agreement of all partners or shareholders: this is called opting out. The ordinary audit only applies to large companies that exceed two of these thresholds two years in a row: 20 million in total assets, 40 million in turnover and 250 full-time jobs.

When must my annual accounts be ready?

For a Sàrl or an SA, the general meeting approves the annual financial statements within six months of the end of the financial year. They then serve as the basis for the company’s tax return. With books kept month by month, the year-end closing takes a few days, not a few weeks.

What is the shareholder current account?

It’s the account that records what moves between you and your company: withdrawals, advances, costs you pay out of your own pocket. Keep a close eye on it, because a poorly documented balance can be reclassified by the tax office, for example as a hidden profit distribution.

Can I keep using bexio myself?

Yes. The bexio subscription is included in our plans: you keep your access, send your invoices and follow your figures live. We keep the books in the same tool, so you see everything we do.

Can I switch accounting firm mid-year?

Yes, at any time. We get the accounts from your old accounting firm, take over the balances from the last year-end closing or the last VAT return, and catch up on the months behind. You have nothing to rebuild.

Shall we talk?

Your September books, already closed?

With FiNexus, they are, in the first days of the following month. A first call, no commitment.
